Fixing Our Own Team Communication with Feedback, Follow-Up, and Goal Workflows
The communication problem we had ourselves — conversations that happened and follow-through that did not — and the workflow product we built to close the gap.
What the system does.
Scheduled
Cycles that start themselves
Event-based
Triggers, not reminders
In-workflow
Feedback where the work already is
What brought this engagement together.
Deskchime was shaped around Zasya's own team operating needs first — recurring follow-ups, feedback, one-on-ones, goals and team visibility. We were the first team to run on it, which is why the product is built around real team habits rather than assumptions about them. Everything below was a problem we had before it was a feature we shipped.
What needed solving.
The conversation happens, but the follow-through disappears. Our own feedback, follow-ups, one-on-ones, goals and recognition were spread across chat threads, meeting notes, spreadsheets and whatever reminders somebody had set for themselves. Chat is good at conversation and bad at what comes after it; the HR platforms are built for a company several times our size; and a spreadsheet only works while one person keeps maintaining it. The failure was never that people did not care — it was that remembering was a person's job.
How we approached it.
We made remembering the system's job instead of a person's. Deskchime was built around the rituals we already had rather than a new process to adopt: the feedback cycle runs itself on a schedule, a completed follow-up asks for feedback without anyone chasing it, and an event in the team's workflow triggers the next step rather than a reminder in somebody's calendar. It is a workflow product, not another place to talk — the talking was never the part that was broken.

System highlights.
The parts that are not obvious from the build list — what the system does, rather than what was delivered.
What the system does differently
Recurring cycles fire on their own, so follow-through does not depend on remembering
Triggers are event-based rather than calendar-based
AI drafts the feedback and summarises the thread; a person still decides to send it
A template library, so the blank page is not the blocker
Onboarding surveys and monthly feedback run as workflows, not as reminders
Guests can be given feedback access without taking a seat
What changed.
- Recurring cycles run on a schedule instead of on somebody remembering
- Follow-ups outlive the meeting they were agreed in
- Feedback and recognition happen where the work already is, not in a separate tool
- Onboarding and monthly cycles start themselves
- The team runs on the product we sell, so its gaps reach us first
